Most practices know what they spend on marketing. Far fewer know what it returns. The fix isn’t a complicated dashboard — it’s tracking a handful of numbers consistently, from the first click to the treatment a patient actually accepts.
The numbers that matter

A real example
In one month of Meta ads for a Southern California dental practice, roughly $10.5K in spend produced 444 leads (about $24 each) and $62,337 in accepted treatment — nearly a 6× return — with $402K+ more diagnosed and still in the pipeline. Without tracking to accepted treatment, that campaign would have looked like “a lot of leads”; with it, the decision to scale was obvious.
How to set up tracking
- Tag every source. Use UTM parameters on ad and social links, and a dedicated number or form for each campaign where practical.
- Ask “How did you hear about us?” at booking — and record the answer in your practice management software.
- Connect leads to patients. A simple CRM or even a shared sheet that follows each lead to booked, seen, diagnosed and accepted.
- Review monthly, by channel and by procedure.
What about video and social?
Organic content rarely gets the last click, but it often does the persuading. Ways to see its impact:
- Track “saw you on Instagram/TikTok” answers at booking.
- Watch DMs and profile link clicks after new content goes out.
- Compare ad performance with and without your own video creative — real content usually lowers cost per lead.
- Look at consult conversion: patients who’ve watched your doctor tend to arrive already trusting them.
